Closed-Loop Feedback
Closed-loop feedback is the practice of acting on a customer’s response, not just measuring it. When a customer leaves a negative score or comment, a closed-loop process automatically creates a follow-up task, assigns it to the right person, sets a deadline for resolution, and tracks whether the customer’s issue was actually fixed.
The term “closes the loop” because it completes the cycle: the customer spoke, the organisation listened, and the organisation responded, ideally back to the same customer, letting them know their feedback led to action.
Why Closed-Loop Matters More Than the Score Itself
A CX programme without closed-loop action is just a reporting exercise. You’ll know your NPS dropped in a particular region, but nothing structurally changes as a result. Closed-loop processes turn individual pieces of feedback into operational accountability, which is what actually reduces churn and rebuilds trust with unhappy customers.
What a Good Closed-Loop Process Looks Like
A strong closed-loop workflow includes automatic ticket creation upon a negative response, clear ownership and SLAs for resolution, escalation paths if deadlines are missed, and a final follow-up with the customer once the issue is addressed.
